Call for Exhibitors

 

Dear Supporters:

The Virginia Summer Institute for Addiction Studies (VSIAS) would like to extend this invitation for you to exhibit at its 17th year in Historic Williamsburg, Virginia, July 16 – 18, 2018.

The Institute provides an excellent marketing opportunity in the setting of Historic Williamsburg, Virginia.  The conference will be held at the Woodlands Hotel & Suites, one of the deluxe Colonial Williamsburg properties. This means added convenience for you and our participants. Comfortable guest rooms, adjacent meeting space, complimentary parking, and accessible internet, restaurant for dining in the hotel, and many more restaurants a short distance away, make the Woodlands Hotel & Suites an outstanding location for the 17h year of the Virginia Summer Institute.

This Institute is designed for professionals in the field of substance abuse and mental health, who are interested in keeping current on the latest techniques and resources available.  Participants come from across the state and nation to attend this conference. This year’s theme is “Riding the Waves of Change”.

We hope that you will join us this year; we value your support and strive to make this a successful event for each supporter. All breaks are set-up in the immediate area of the exhibits.  There will be time set aside to acknowledge supporters and allow time for door prizes.

The Woodlands Hotel & Suites is located at 105 Visitors Center Drive, Williamsburg, VA, 23185.  Individual reservations must be made on or before Wednesday, June 13, 2018 via the Hotel’s on line reservations PASSKEY system  by providing the Group name or using this Booking Code: 1807VIRGIN or by calling (800) 261-9530 between the hours of 8:30 am to 5:00 pm EST, Monday through Friday. All individual lodging reservations must be accompanied by a one night’s deposit for room and tax. The VSIAS Hotel room rate is $104.00. Hotel room rates are subject to applicable state and local taxes in effect at the time of check-in, and a $2.00 per room per night occupancy tax. The Government Rates are also subject to change. Hotel check-in time is after 4:00 pm. Check-out time is 11:00 am at all Colonial Williamsburg Hotels. If you are staying at The Woodlands Hotel & Suites, a complimentary continental breakfast daily is located in the main lobby. Please reserve your room early to avoid any chance of not being able to book at this hotel. The hotel will not hold special rate rooms after Monday, June 18, 2018.

Exhibit materials may be shipped to the hotel. Please follow the instructions in the Exhibitor Agreement when shipping to The Woodlands Hotel & Suites.

 

Exhibit set-up begins Sunday, July 15th, at 2:30 pm.

Exhibit must be clear of their space no later than 5:00 pm, Wednesday, July 18th.

The exhibitor assumes the entire responsibility and liability for losses, damages, and claims, including without limitation, bodily injury and death, arising out of exhibitor’s activities on the Hotel’s premises (together “Liabilities”). Exhibitor covenants not to sue and agrees to indemnify, defend, and hold harmless the Hotel, and its parent corporation, as well as their respective trustees, directors officers, agents, servants, and employees from any and all such Liabilities. The Colonial Williamsburg Foundation and the Colonial Williamsburg Company are third party beneficiaries of this indemnification.

This year we are offering you the opportunity to pay by American Express, Discover, Master Card, Visa, or you may still pay by check. We cannot guarantee a table for you if you do not register by May 20, 2018. You will receive a confirmation once you register. Please make sure you bring this with you to the conference.
